YYC Dayhome Finder ("we", "us") helps Calgary families find family dayhomes. This page explains what information we collect, how we use it, and your choices. We keep this simple and only collect what we need to run the directory.
What we collect
- From families: the details you submit through our contact forms — such as your name, email, phone (optional), childcare needs, consent choices, and request status.
- For a Family Request post: we keep the parent or guardian's contact details private and collect the community or Calgary area, broad child age band, care type, general schedule, preferred start window, and proposed public summary needed to review the post.
- From dayhome providers: the details you submit to list your dayhome — such as your name, email, phone, dayhome address, photos, and listing information.
- When a Provider responds to a Family Request: we collect the request reference, listing code, registered Provider identity, verification status, optional response note, and connection status.
- For paid upgrades: the dayhome code and payment status needed to confirm and fulfil the purchased upgrade. Stripe processes the payment details.
How we use it
- To connect families with dayhome providers and operate the directory.
- To review, publish, pause, match, close, or expire anonymous Family Request posts.
- To send service emails about a submission, publication, Provider verification, or connection. These operational messages do not subscribe you to marketing.
- To verify a responding Provider through the email already registered to their listing before an administrator can connect the two sides.
- To respond to your messages and improve our service.
- To send occasional updates or promotions — only if you opted in on our form. You can unsubscribe at any time.
What is public vs. private
- Public dayhome listings show only the general community/area (for example, "Harvest Hills, NE") — never the exact street address.
- A provider's private contact details and exact address are not shown publicly.
- A Family Request is private while pending review. If the parent or guardian consents and we approve it, the public card may show only the request reference, Calgary area/community, broad child age band, care type, general schedule, start window, reviewed summary, and publication/expiry dates.
- A parent's or child's name, email, phone, exact address, school, exact birthday, medical information, private notes, consent records, and internal identifiers are never included in the public Family Request API or card.
- Provider responses are private. Entering a public listing code does not reveal family contact details; the Provider must verify through their registered email, and an administrator decides whether to connect the two sides.
- New provider photos remain private and pending review until we approve them for the public listing.
Do not place a child's name, exact birthday, school, street address, medical information, custody information, email, phone number, or another identifying detail in a proposed public summary. Review reduces privacy risk but cannot prevent a visitor from copying information that is intentionally published.
Payments
Provider photo upgrades are processed securely by Stripe. YYC Dayhome Finder records the payment status and listing reference needed to fulfil the upgrade, but we do not collect or store full credit card numbers.
Where your information is stored
We use Google services (Forms, Sheets, Drive, Apps Script, and email delivery) to collect, review, store, and route submissions; Stripe to process paid upgrades; and Cloudflare to host and protect this website. These providers may process information in Canada, the United States, or other locations described in their own service terms and privacy documentation.
Family Request duration and records
A published Family Request normally has an expiry date (30 days by default) and stops appearing publicly when it expires, is paused, is matched, or is closed. Private submissions, Provider responses, delivery records, and moderation history are kept only as long as reasonably needed to operate the service, prevent misuse, answer privacy or service questions, and meet legal obligations. You may ask us to close a public request early or review deletion of your private information.
Website analytics and cookies
We use Google Analytics to understand how visitors use this website, such as which pages are viewed and the general type of device and browser used. Google Analytics may use cookies and collect technical information such as an approximate location derived from an IP address. We use this information to measure and improve the website, not to identify visitors personally.
Your choices
- You can ask us to access, correct, or delete your information at any time.
- You can withdraw permission for an active Family Request to remain public and ask us to pause or close it. This may prevent us from continuing the matching service.
- You can unsubscribe from promotional emails at any time.
- For any privacy request or question, contact the Privacy Officer at hello@dayhomefinder.ca. We may need to verify your identity before changing or deleting a private record.
Changes to this policy
We may update this policy from time to time. The "last updated" date above shows the latest version.
